Trimax provides its service to you,
subject to the following Terms of Participation & Service
("TOPS"), which may be updated by us from time to time.
In addition, when using particular Trimax services, you and
Trimax may be subject to posted guidelines or rules applicable
to such services which may be posted from time to time. All
such guidelines or rules are hereby incorporated by reference
into the TOPS.
TOPS is an agreement between you and Trimax and is governed
by the laws of India, and the exclusive Jurisdiction of New
Delhi, India.
When you purchase an Exhibition Product please remember
that, in addition to the TOPS, you can also be subject to the
terms and conditions of the third party supplier, which could
include a hotel or a domestic airline, etc.
The
Participant Registration form is
only an invitation to buy an Education Product.
Please note: Our Exhibition Products are sold subject to
availability. Places are limited and reserved on “First come -
First Serve” basis. If an Exhibition Product booked by you is
un-available, we will revert to you directly and refund you
any deposits which you would have made, without any
deductions.
Charges for participation - The charge for participation is
as given in the Proposal for Participation.
Payment for participation at the fair and services - The
Participant shall pay the full amount by bank transfer within
Fourteen (14) days of the date of the Invoice issued by
Trimax. In case of bookings 30 days before the exhibition, the
payments have to be made in full on the same or next
consecutive day by urgent bank transfer and confirmed by a
copy of payment to Trimax by e-mail or fax.
Please note: The invoice will be for the full amount. You
will need to transfer the full amount less the booking
deposit, incase the deposit is already paid.
If full balance is not paid by allocated date, Trimax can't
guarantee an allocated space or any service, and the deposits
made will be forfeited. The Institution shall also be liable
to pay for expenses incurred by Trimax for arranging such
services.
Taxes - All taxes, as applicable at time of billing /
invoicing will be payable, in addition to the participation
fees. Currently, the Service Tax is charged @ 10.3% on total
invoice value.
Cancellation of bookings - If, after booking education fair
participation, a Participant desires to cancel the booking,
they must give written notice to Trimax for the same. A
cancellation penalty of 50% of the total participation deposit
for the booking will apply, if the cancellation was officially
made not later than Fifteen (15) days before the start date of
the education fair. The refund of any individual services /
products booked in a package will not be possible. No refund
will be given for bookings of education fair participation
cancelled within Fourteen (14) days before the start date of
the education fair.
Please note: If you send us your cancellation through
email, cancellation is not immediate. Trimax will respond to
you within 24 hours of receipt of your e-mail. Please take
this 24 hour turn around time into consideration when putting
your cancellation through email.
Cancellation and alterations to exhibition participation by
Trimax - Whilst every endeavour will be made to adhere to the
published dates, venue, schedule, duration and content of the
exhibition, Trimax shall be entitled to slightly vary venue,
content, schedule and dates of the exhibition, if in their
opinion, this is in the general interest of the exhibition.
In the event of the above-mentioned alterations, the
agreement to participate shall remain in force so long as the
Participant is informed before such changes take place. In the
event of cancellation of the Exhibition by the Organiser due
to the low number of Participants, the Participants will be
entitled to refund of their Participation fee. The refund of
any individual services / products booked in a package will
not be possible. Trimax shall be under no liability to the
Participant in respect of any other claims, losses, costs or
expenses whatsoever which may be brought against or suffered
or incurred by the Participant because of the Exhibition
cancellation. The cancellation for the Exhibition will not
affect other services and products on their own or as part of
the package.
Booking Additional Nights at the Hotel / Cancellations of
Additional Nights / Amendments. Credit Card imprint and Photo
identification of the person whose name is on the booking must
be provided when checking in the hotel. In the event that you
would like to book or cancel or amend your additional nights
at the hotel, the hotel's booking / cancellation policy will
apply. The Hotel’s customer services will advise you if you
decide to proceed with the changes.
When booking domestic travel arrangements our contract with
you begins when you receive the confirmation email stating
that we have received your deposit. Once the payment is made
we are responsible for providing the domestic arrangements you
have booked. The Participating Institution accepts
responsibility for making payments to us for all members of
their party.
Trimax shall not be liable for any loss sustained by the
Participant directly or indirectly attributable to the
cancellation, suspension or reduction of duration of the
Exhibition from the period advertised or specified.
If the Exhibition is cancelled, reduced or postponed then
in such event the unit costs paid to Trimax, or any part
thereof may be refunded at the sole discretion of Trimax to
the Participants, but without prejudice to the Organiser's
right to appropriate the entire sum or any part thereof for
expenses they have already incurred for the Exhibition.
Any visa, passport and inoculation requirements are your
responsibility and failure to obtain the relevant is not the
responsibility of Trimax. Where needed, Trimax will provide
the Invitation letters for visa purposes for the participant(s)
registered with us. However, all requirements should be
checked with the relevant Embassy of the destination country,
India.
Participants and their representatives must in all cases
take out adequate travel insurance through their company or a
travel agent or other approved insurance supplier.
If there are any changes to the details supplied by the
Participating Institution or their representatives for the
exhibition, it is the Institutes and their representative’
responsibility to inform Trimax as soon as possible.
We cannot be responsible for goods and services offered by
third party vendors or for any aspect of the relationship
between the Institutes or their representative and that third
party. However, all due care is taken before a third party is
selected to offer its services.
Trimax does not accept liability for any errors or
omissions and reserves the right to change information,
specifications and descriptions of listed goods, products and
services at any time. This Liability section applies only to
the extent permitted by law.
The Institution accepts full financial responsibility for
all purchases made under their name or account, and also must
make sure that all the information provided to us is true and
accurate.
At all the fairs of the event, we request you to help us
maintain a professional & safe environment. Please arrive on
time and arrange your booth before the fair begins.
Dress to best represent your Institution, and stay for the
entire program. Please make sure to check-in at the reception
booth.
Be courteous to other Participants and all visitors and
fair attendees.
Booths are for the use of University officials and
representatives only. Please restrict use of Audio-Visual
equipment to a minimum so as not to interfere with other
Participants. Displays can not exceed or obstruct the view of
adjoining participants and please keep the aisles clear of all
materials.
For any media or press release for the exhibition, please
intimate our office in advance.
Please
fill out the fair evaluation form and return the same to us at
each venue. This will help us to serve you better.
